The Business Manager supports the mission and operation of NWGA Charter Academy by overseeing daily financial, grant, human resources, and operational functions in alignment with charter, state, and federal requirements. Working under the supervision of the CFO and in collaboration with the Superintendent/Principal and back-office provider, the Business Manager ensures that school-level financial transactions, grant documentation, and compliance reporting are accurate, timely, and aligned with Board-approved budgets and policies. This position is responsible for maintaining strong internal controls, ensuring financial integrity, and coordinating essential business operations that sustain the school’s instructional and organizational goals. 

ESSENTIAL ROLES AND RESPONSIBILITIES Financial Management & Budget Support ? Supports the CFO in the development and monitoring of the school’s annual budget and multi-year financial projections ? Manages day-to-day accounting and bookkeeping, including accounts payable, receivables, deposits, payroll reconciliations, and journal entries ? Verifies the accuracy and coding of all expenditures and reimbursements in compliance with GAAP, grant rules, and state guidelines ? Maintains accurate accounting records and documentation for audits, reconciliations, and financial reviews ? Assists in preparing monthly financial reports for the Governing Board and Finance Committee ? Coordinates with the CFO and financial back-office provider to reconcile general ledger accounts and ensure all reports are current and compliant ? Monitors spending against budget allocations and alerts leadership to variances or emerging risks NWGA Charter Academy  Job Description ? Supports internal and external audit preparation by compiling reports, supporting documentation, and compliance evidence ? Prepares or assists in preparing bank reconciliations and cash flow tracking reports. Monitors encumbrances, open POs, and commitments to maintain accurate budget availability Grant Management and Compliance ? Manages compliance and reporting for all federal, state, and private grants, including but not limited to Title I, II, III, IV, IDEA, and CSP ? Tracks and reconciles grant expenditures, ensuring timely submission of drawdowns and reimbursements ? Prepares and submits all required financial documentation and reports through GaDOE’s Consolidated Application (ConApp), Grants Accounting Online Reporting System (GAORS), and other platforms as required ? Maintains documentation of applications, amendments, and monitoring reports for grant audit readiness ? Supports the Superintendent/Principal and CFO in preparing responses for GaDOE and authorizer monitoring visits ? Reviews expenditures to ensure budget alignment ? Maintains time and effort documentation, cost allocation records, and supporting documentation in compliance with federal Uniform Grant Guidance Human Resources, Payroll, and Benefits ? Coordinates with the CFO, HR provider, and Superintendent/Principal to ensure accurate and timely payroll processing ? Verifies and processes timesheets, leave balances, stipends, and contract adjustments ? Maintains confidential and compliant personnel files consistent with GaPSC and GaDOE expectations ? Assists with onboarding, orientation, and benefits enrollment for new hires ? Tracks staff credentialing, background checks, and certification expiration timelines ? Supports the implementation of evaluation systems and professional development documentation ? Provides HR-related data for state and federal reporting (e.g., CPI, Title II) ? Processes personnel action forms and supports payroll adjustments. Oversees purchasing and vendor procurement processes to ensure compliance with federal and state procurement thresholds ? Prepares and tracks purchase orders, invoices, and service contracts in collaboration with department leads ? Maintains an up-to-date vendor log and ensures all vendors have current W-9s and insurance documentation on file ? Works with the CFO to review contracts for services such as transportation, custodial, food service, and technology ? Coordinates inventory management, capital asset tracking, and disposal procedures ? Manages insurance policies, coverage renewals, and claims documentation ? Oversees facility-related procurement and service scheduling as assigned ? Ensures adherence to procurement thresholds, maintains documentation of competitive bids, and monitors vendor performance and contract renewal timelines State and Federal Reporting ? Coordinates with the Superintendent/Principal and CFO to complete and submit state and federal reports, including FTE, CPI, DE046, CRDC, and grant documentation ? Verifies data accuracy and ensures submission deadlines are met ? Supports Board and authorizer reporting requirements with accurate data and documentation ? Maintains a master compliance calendar for state and federal submissions. Supports CFO and School Leader in ensuring data accuracy, timely submission, and documentation of audit trails General Administrative and Operational Support ? Assists the School Leader with daily operational oversight, ensuring smooth front-office and back-office coordination ? Develops and maintains filing and data systems for business, personnel, and compliance documentation ? Responds to inquiries from staff, vendors, and stakeholders with professionalism and discretion ? Maintains confidentiality in handling sensitive financial and personnel information ? QUALIFICATIONS Required Credentials ? Bachelor’s degree in accounting, finance, business administration, or related field ? Minimum of three (3) years of experience in financial management, accounting, or school operations ? Demonstrated knowledge of GAAP, federal grant compliance, and public sector reporting requirements ? Proficiency in Google Sheets/Excel and accounting software (QuickBooks or equivalent) ? Strong analytical and data management skills Preferred Credentials ? Experience in Georgia charter school or public school financial management ? Familiarity with GaDOE reporting systems (Con App, DE046, FTE, CPI) ? Experience working with or supporting a governing board ? OTHER REQUIREMENTS ? Valid driver’s license and current automobile insurance ? Successful completion of fingerprinting and background checks (criminal history, sex offender registry, licensing verification) ? Ability to maintain confidentiality and adhere to data privacy laws (FERPA, HIPAA) ? Adhere to professional dress code and conduct standards. ? WORKING CONDITIONS & DEMANDS OF THE JOB Mental and Physical Ongoing Demands: Maintain emotional control under stress; work with frequent interruptions/deadlines and prolonged or irregular hours; Frequent walking, standing, stooping, bending, pulling and pushing, and use of technology tools. Mental and Physical Occasional Demands: Lifting and carrying 10-25 pounds frequently, 25-40 pounds occasionally, more than 45 pounds infrequently with assistance; Pushing/pulling 10-35 pounds sporadically; May be required under specific circumstances to provide physical restraint of students in danger of causing harm to themselves or others; travel.   Environmental Ongoing Factors:  Standard office environment with moderate noise and temperature variation. Infrequent exposure to  temperature extremes (hot and cold), humidity extremes, and noise. Environmental Occasional Factors: Exposure to:  biological hazards (communicable diseases, bacteria, insects, mold, fungi, etc.) when working in school environments

 WORK SCHEDULE & COMPENSATION  ? 40+ hours per week, full-time ? Evening and weekends required as needed to complete tasks.  The role may require additional hours during fiscal year-end close, state reporting windows, or audit preparation periods. ?
